Give every piece a working name
Assign a simple identifier while packing, such as Suitcase 1, Blue Box 2 and Grey Case 3. Use it on your private inventory and measurement notes. These names help you organise the work, but they do not replace the courier's labels or tracking references.
Make the identifiers useful to someone who was not present when you packed. A photo beside each entry is helpful when several boxes look alike. If you change containers, update the photograph and notes rather than leaving two different packages described as the same piece.
Measure and weigh each piece separately
Finish the protective packaging, then record the weight and three outer dimensions for that piece. Repeat for every other item, even if they look similar. Two identical suitcases can have different filled weights, and a reused carton may be a different size from the one beside it.
BagBird's maximum weight and size limits apply to each piece. Spreading a combined weight across several form entries does not make an overweight package acceptable. If you redistribute the contents, reweigh the affected pieces and update their inventories before reviewing the booking.
Match each label at the package
Work through the supplied labels one piece at a time. Check the booking details, attach the correct outside label and place its backup copy inside the corresponding item. Do not print the first label several times and attach it to every bag.
If the document contains multiple labels, make sure all pieces have been accounted for before collection. Keep a digital copy of the complete document and a photograph of each labelled package. Stop and ask support if a piece appears to be missing its label or a printed barcode is incomplete.
Keep the contents list organised by piece
A shipment-wide list is useful, but it cannot tell you where to look for a missing jumper. Group the inventory under your package identifiers and record changes as you balance the load. Review the overall quantities and values after the final move between bags.
Keep accepted, restricted and prohibited contents separate while planning. Do not move an uncertain item into another suitcase simply to finish packing. The contents rules apply across the whole shipment, and protection exclusions do not change because an object travels beside ordinary clothing.
Count at collection and again at delivery
Put all prepared pieces together for handover and tell the person meeting the courier the total. Ask them to check that each labelled item is taken and to record any piece left behind. Keep the collection arrangement in one message so a last-minute helper can follow it.
At the destination, compare the physical arrivals with your list instead of assuming that the first delivered piece completes the booking. Check the tracking references provided for the shipment and contact support about a mismatch. Keep the individual labels and packaging until the contents of every piece have been checked.
