Read the collection confirmation carefully
Confirm the booked address, date and available time window. A date saved in your personal calendar is not a substitute for checking the shipment details. If the arrangement no longer works, contact support or use the available rescheduling option before assuming the courier will come to a different address.
Make sure the collection phone number reaches someone who can help that day. If a family member, colleague or receptionist will hand over the luggage, send them the piece count and the information they need in advance. They should not have to reconstruct the booking when the courier arrives.
Finish labels and documents before the window begins
Download the labels supplied for the booking and check that every piece has its correct label. BagBird's terms ask for printing at 100% scale, with the barcode flat and visible. Put a backup copy inside each item, and remove obsolete shipping labels from reused packaging.
Complete any outstanding customs steps shown for the shipment and follow the accompanying document instructions. If a label is missing, unreadable or does not match what you booked, resolve that before handing over the package. Do not copy another piece's label to fill a gap.
Check the physical pieces against the booking
Count the items, read their labels and compare them with your packing list. Confirm that nothing has been added since the final weighing and measuring. Keep photographs of the finished packaging and the contents record somewhere outside the shipment.
Leave luggage unlocked as required by the terms. Close packaging securely and make sure no loose accessory is waiting beside a suitcase in the expectation that it will travel separately. Anything to be collected needs to be included correctly in the booking and prepared as its own item where appropriate.
Prepare the collection point
Move the finished pieces to a sensible place at the booked address before the collection window, without leaving them unattended outside. Clear a route to the handover point and check how the courier will reach the person responsible. A closed reception, entry gate or silent doorbell can make an otherwise prepared collection difficult.
If your building has a concierge or loading area, confirm its procedure rather than assuming the driver already knows it. Share useful access details with the person handling collection, and keep your phone charged and available during the window.
Keep a record if collection does not go to plan
If the courier has not arrived by the end of the confirmed window, contact support with the booking reference, collection address and details of what happened. Keep the packages ready while the next step is confirmed. Do not create a duplicate booking merely because the first collection is uncertain.
After handover, retain the labels, inventory and any collection record. Follow tracking for the next event, but keep the practical handover details too: who passed over the items, how many pieces were taken and when. Those facts are useful if a collection or first scan needs investigating.
